Position Summary

Reporting to the Senior Associate Dean, the Senior Associate Director, Operations manages and coordinates the activities and development of the Program Management team, oversees the delivery of a portfolio of Open Enrollment, Custom, Digital and Blended programs in all phases of development and delivery and continuously improves processes for the program delivery team.

S/he will continuously improve processes and will share best practices across the team. This individual will demonstrate working knowledge of Executive Education portfolio. S/he will provide oversight and coaching/mentoring to the team of Program Managers and will be a lead point of contact for operations and delivery for other functions in the Executive Education team. The individual will also play an operations advisory role with participants and clients.


  • Partners with the Senior Associate Dean to provide oversight of all the program delivery activity.
  • Works to develop, coach and mentor the individuals within the Program Management team providing guidance on best practices, keeping in line with established department/University policies and guidelines.  Ensures work is delegated fairly and efficiently. Designs and coordinates the onboarding of new members to the program management team
  • Builds and develops strong relationships with all department staff and with stakeholders and stakeholder groups across the business school and the University
  • Oversees all aspects of event planning for programs including interactions with faculty directors and University facilities, Catering, IT and Operations teams as well as with external providers. Oversees IT and Audio Visual requirements and manages the interface with the institutional support teams. Coordinates processes relating to the set-up of virtual course sites
  • Oversees the sourcing of program materials including faculty curriculum materials, readings, assessment and supplies. Works closely with Operation and Production staff to oversee material production and quality control within scheduled deadlines.
  • Manages an Associate Director, Resource planning to schedule program managers to programs, to book facilities and to manage centralized operational tasks. Works to optimize the resource planning and facilities usage, with the support of the Senior Associate Dean. Establishes contingency plans to deal with the volatility in the flow of business. Manages third party program management service providers, as required.
  • Works with program management team and with Senior Associate Dean to continuously improve delivery processes. Seeks opportunities to leverage technology where possible to reduce repetitive manual tasks. Identifies efficiency opportunities as we build new processes around our Manhatanville Kravis 10 executive education facility
  • Partners with the Custom team to source information for new program proposals; may attend client meetings as the most senior Program Manager to provide operations insights and to build client relationships in the early phases of client relationships. Develops understanding of Program Agreements and faculty compensation agreements.
  • Coordinates program evaluation process across the program delivery team, ensuring the collection and evaluation of participant data. Liaises closely with Marketing & Sales to analyze and identify program improvement opportunities and to develop associated action plans with the support of the Senior Associate Dean.
  • In conjunction with the Senior Associate Dean and the Financial Planning Office, ensures program costs are tracked effectively and managed to budget. Ensures team provides clients with an estimate of reimbursables 30 days after the close of a program. Ensures faculty commitment letters are drawn up 30 days prior to the start of programs
  • Directly manages the delivery of a portfolio of some open and custom program to support peak periods, to role model best practice and to test new processes and approaches, as required.
  • Other responsibilities as assigned.

Minimum Qualifications

Bachelor’s degree required. 4-6 years of related experience required.

Excellent interpersonal and written communication skills. Detail orientated and proven track record of taking initiative and is able to anticipate and prioritize tasks.  Demonstrated ability to perform non-routine work, manage multiple projects simultaneously and work independently, as well as within teams.  Proficient in Microsoft Office applications and Internet utilization.  Ability to travel to programs and visit possible venues.  Ability to cultivate relationships among alumni and past participants.  Must be able to work early mornings, evenings and weekends necessary.

Preferred Qualifications

Prior experience in event management, project management and Salesforce a plus.
